How To Make a Booking.

Here's how you make a booking for a patient:
Bookings
When a patient makes a booking, make sure you obtain the following information:
Name, Surname, Contact details, desired date and if they are a new or old patient with us (N/P or O/P) Add notes if there is any other important information.
Prepare the patient file
Ensure that all the patient history of the existing patient is available by the time they see the optometrist. Retrieve the current patient file. Having everything ready when the patient walks in gives an impression of competence and saves you from running around in the practice trying to locate a patient card while they are standing there watching you!
New patient
We already have the patient's name, medical aid (if any) detail and the telephone number. Open a patient file with this detail. When they arrive at the practice, they will be very impressed with your efficiency when you hand them the correct form where they only need to complete the sections where the missing information is required.
Existing patients
When patients make a booking always ask if they are an existing patient, if yes ask at which branch they tested and get their previous tests results or take out the already prepared patient file, ask if any information has changed and update all the patient information on file and Optimax. Any errors in the patient information creates difficulty in the accounts department as invoices may be rejected by the medical aid. It will further be impossible to contact a patient if the telephone numbers are incorrect!
WhatsApp Booking Confirmation
We send WhatsApp booking confirmations to customers on the day of their appointment to ensure they have the details and are reminded of their scheduled visit.
